Who we are
Sokhov Transport & Removals (“we”, “us”, “our”) provides man and van, house
removals and furniture delivery services from Ledbury, Herefordshire. We are
the controller of the personal data described in this policy. This policy
explains what we collect through this website and when you contact us, why we
use it, and what your rights are under UK data protection law.
What we collect
When you use our quote form, we collect the details you enter:
- Your phone number
- Collection and delivery postcodes and your preferred moving date
- Property details: floors, lift availability, parking and access notes
- Whether you need dismantling and the team size you prefer
- Photos of your items or rooms, if you choose to upload them. Please avoid photos that show people or personal documents.
When you contact us by phone, WhatsApp or email, we receive the
details you give us, such as your name, phone number, email address, the content
of your messages and any photos or documents you choose to send to help us prepare
a quote. We use photos only to prepare and carry out your quote and move.
Technical data. Like all websites, our hosting provider
receives your IP address and basic browser and device information when you
visit. If you choose “Accept” in our cookie banner, Google tools
(Google Ads and Google Analytics) also collect information about how you use
the site and how you arrived. See our Cookie Policy.
We store your cookie choice in your browser so we do not ask you again on every visit.
Why we use your data
- To prepare quotes, arrange and carry out your move. We use your enquiry details to respond to you and to take steps you ask for before a booking. Our legal basis is performing, or preparing to perform, a contract with you, and our legitimate interest in running our business.
- To keep records and meet legal obligations, such as accounting, tax and insurance requirements. Our legal basis is legal obligation.
- To measure and improve our website and advertising. This only happens if you accept analytics and advertising cookies. Our legal basis is your consent, which you can withdraw at any time.
- To handle complaints and claims. Our legal basis is our legitimate interest in resolving disputes and protecting our business.
We only use your contact details to deal with your enquiry or booking. We do not
send marketing messages unless you ask us to.
Who we share it with
We do not sell your personal data. We share it only with service providers that help us run the website and our business, and only as far as needed:
- EmailJS, which delivers the quote form to our email inbox.
- Cloudinary, an image hosting service where photos uploaded through the quote form are stored. The email we receive contains links to them.
- Our email provider (Google Workspace / Gmail), where we receive and store enquiries.
- WhatsApp (Meta), if you choose to message us there.
- Google, for advertising and analytics tools if you accept cookies, and for Google Fonts, which load the website’s typefaces from Google’s servers and so receive your IP address.
- Our website hosting provider, which serves the website.
- Professional advisers, such as accountants and insurers, where necessary.
We may also disclose data where the law requires it, or to protect our rights
in a dispute.
Transfers outside the UK
Some of these providers are based in, or process data in, countries outside the
UK, including the United States. Where that happens, we rely on the safeguards
that UK data protection law requires, such as approved contract terms or an
adequacy arrangement.
How long we keep it
- Enquiries that do not lead to a booking, including any photos you uploaded: normally deleted within 12 months.
- Booking, invoice and payment records: for as long as the law requires, generally up to 6 years.
- Analytics and advertising data: according to the retention settings of the Google tools.
Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data, in some circumstances;
- ask us to restrict, or object to, how we use your data;
- ask for your data in a portable format, where it applies;
- withdraw your consent to cookies at any time.
To use any of these rights, contact us using the details below. We aim to
reply within one month. If you are unhappy with how we handle your data, you
can complain to the Information Commissioner’s Office at
ico.org.uk/make-a-complaint.
We would appreciate the chance to put things right first.
